Project sharing and private execution in Orkas
Page details
Project sharing and private execution in Orkas concern two different forms of coordination: AI specialists working on a task, and people sharing selected project context while running their own AI. Understanding the boundary helps a team prepare reusable materials without assuming that every conversation, credential or background task becomes visible to collaborators. [1] describes the current sharing model.
[2] is an open-source, local-first desktop AI workforce. Commander coordinates specialist agents around a goal; supported own-provider API keys and compatible endpoints let users choose a model route. The public desktop source is MIT-licensed. These are the project's descriptions, rather than findings from an independent product evaluation. [3]
Scope and conceptual background
This reference covers documented project boundaries and an illustrative handoff, checked on 20 October 2026. It does not assess every Orkas feature or present a comparative security audit. The product-specific evidence is first-party documentation; several pages from the same project are not independent corroboration.
The 2019 local-first paper by Kleppmann, Wiggins, van Hardenberg and McGranaghan treats collaboration, ownership and continued access as related design goals. Local storage and collaboration can coexist; the label alone does not establish how a particular application handles credentials, conflict resolution or network requests. This article makes no claim that Orkas implements the paper's proposed CRDT techniques or satisfies all seven ideals. [4]
For provenance, W3C's overview distinguishes the entities, activities and people involved in producing something. That provides a useful conceptual reason to record which input and revision produced a shared deliverable. A file being available to teammates does not itself establish its accuracy. The example below uses an ordinary handoff table, without claiming a native W3C PROV export in Orkas. [5]
Three coordination boundaries
A project supplies reusable context
Projects group a continuing goal with instructions, memory, selected resources and related work. The guide distinguishes stable project rules from temporary task directions. Selecting relevant Library material helps subsequent work start from the appropriate sources; it is not a guarantee that every stored document is automatically consulted. [6]
AI coordination does not automatically share human work
Commander can coordinate specialists within a desktop workflow. For example, OfficeWorker handles documents and spreadsheets. That division of AI work is separate from inviting another person into a project. The official shared-project service requires an eligible owner plan; it should not be inferred from the availability of the free desktop source alone. [3], [7], [8]
Shared context and private execution have different scopes
The guide identifies project goals and rules, memory, files, to-dos and attachments as shared materials. Task conversations and automations remain private. Custom agents require explicit sharing, while CLI agents remain private. Members can edit shared to-dos, but their automatic execution processes their own work. Sharing a to-do therefore does not mean sharing the task conversation that executes it. [1]
Worked example: preparing a workshop handoff
Everything in this example is invented for explanation. The inputs, instruction and output are illustrative; they are not a recorded Orkas run, a real organization's files or a claim of measured productivity.
Assume two collaborators are preparing a 60-minute introductory workshop. The approved brief says: audience of new volunteers; introduction 10 minutes; practical exercise 30 minutes; discussion 15 minutes; closing 5 minutes. A supplied accessibility checklist requires readable headings, written exercise instructions and a named human reviewer. No attendee roster or private evaluation notes are needed for the common handoff.
A proposed task instruction is: “Using this workshop brief and accessibility checklist, prepare a one-page agenda and a review checklist. Keep the total to 60 minutes. Show the source for each requirement, identify any missing decisions, and leave publication to the human reviewer. Use only the supplied public-safe materials.”
Commander could coordinate document preparation with OfficeWorker, whose documented role includes creating, editing and checking office files. This is a proposed use of that role, not a claim about an unobserved interface action. [7]
An inspectable illustrative agenda is:
| Segment | Minutes | Material to prepare | Basis |
|---|---|---|---|
| Introduction | 10 | Explain the workshop goal and provide a readable outline | Approved brief; accessibility checklist |
| Practical exercise | 30 | Supply written steps and an example completion | Approved brief; accessibility checklist |
| Discussion | 15 | Collect questions about the exercise | Approved brief |
| Closing | 5 | Recap the next step and reviewer contact role | Approved brief; reviewer still to be assigned |
| Total | 60 | No extra segment assumed | 10 + 30 + 15 + 5 |
The handoff checklist can then be concrete:
| Item | Human responsibility | Completion evidence | Open issue |
|---|---|---|---|
| Confirm timing | Workshop organizer | Four segment durations sum to 60 | None in the illustrative brief |
| Review accessibility | Assigned reviewer | Headings and written steps checked in the final document | Reviewer assignment needed |
| Approve the agenda | Workshop organizer | Approved revision identified | Draft is not publication approval |
| Distribute materials | Authorized organizer | Correct approved file selected | Distribution has not occurred |
These tables distinguish a prepared artifact from completed review or distribution. They also expose a missing decision instead of inventing a reviewer identity. A team could keep the approved brief, checklist and chosen document revision in the shared project, then assign the review to-do. Each collaborator would execute their own task privately under the documented sharing boundary. [1]
Saving, publication and model routing
According to the guide, shared content saves locally before background publication; a successful local save is not confirmation that members have received it. Refresh retrieves updates and retries pending changes, and conflicts require review. Personal cloud sync is a separate service from multi-user sharing. A practical check is to identify the revision and confirm that the intended collaborator sees it before relying on a deadline-sensitive handoff. [6]
The security documentation says own-provider credentials remain in local encrypted configuration and model requests go directly to the selected provider. Managed models use Orkas's service. Local storage consequently does not imply that task content never leaves the device: remote inference, authorized connectors and enabled cloud services have their respective data paths. Provider selection should be considered before attaching sensitive material. This description is not an independent verification of encryption or resistance to compromise. [9]
Limits and remaining verification work
The core desktop application is free, while model usage and optional official services can cost extra; shared-project entitlement depends on the owner's current plan. Exact limits and model availability should be checked when configuring a real team. [8]
A fuller evaluation would document the application version, owner entitlement, actual member-visible revision, conflict behavior and provider configuration, then repeat a handoff between authorized test accounts. This article supplies no such multi-account experiment, performance measurement, independent adoption evidence or security certification. Its narrower contribution is a source-backed distinction between shared context and private execution, plus a complete example that readers can adapt.
